Rules and Instructions
1. TICKET & ENTRY
- Each ticket is valid for one participant only, unless specifically mentioned otherwise on the ticket.
- Every booking will receive a unique QR code.
- The QR code will be scanned and verified at the entry gate.
- Each QR code can be scanned only once.
- Screenshots, duplicate, copied, edited or tampered QR codes will not be accepted.
- Entry will be allowed only after successful ticket verification.
- The organiser reserves the right to deny entry if a ticket or QR code is found to be invalid, duplicated, tampered with or already scanned.
- Date-Specific Pass: A pass purchased for a specific date is valid only for that date. For example, if you purchase a pass for 11th October but do not attend, the same pass cannot be used on 17th or 18th October. A new pass must be purchased for the new date.
- Passes cannot be shifted, exchanged, or carried forward to another event date.
2. EVENT DATE & TIMING
- The event will take place on the date selected during booking: 11th, 17th or 18th October 2026.
- Timing: 6:00 PM onwards.
- Participants are requested to arrive early to allow sufficient time for QR verification and entry.
- Entry and crowd movement may be regulated depending on venue capacity and safety requirements.
3. TICKET CANCELLATION & REFUND
- Tickets are non-refundable and non-transferable once purchased, unless otherwise announced by the organiser.
- Change of event date after booking will be subject to availability and organiser approval.
- Platform/convenience/payment gateway charges, where applicable, may be subject to the ticketing platform’s refund policy.
- In case the organiser officially cancels the event, the applicable refund process will be communicated separately.
4. AUTHENTIC GARBA FORMAT
- NAV CHAITANYA GARBA is an Authentic Garba event.
- NO BOLLYWOOD DJ / NO BOLLYWOOD SONGS.
- The event focuses on traditional Garba, Dandiya and related folk dance formats.
- Participants are requested to respect the authentic Garba atmosphere and event format.
5. WEATHER & RAIN POLICY
- The event is being conducted at an outdoor turf venue, and weather conditions such as rain are beyond the organiser’s control.
- The event will continue as planned as far as reasonably possible, depending on weather and safety conditions.
- Participants are advised to come prepared for possible weather conditions.
- The venue will not be changed to an alternate location at the last minute due to rain or weather conditions.
- In case of heavy rain or unsafe conditions, the organiser may temporarily pause or modify activities for participant safety.
- Rain or adverse weather conditions do not automatically qualify for a refund.
- Any official decision regarding postponement, cancellation or changes to the event schedule will be communicated through the official event channels.
6. CODE OF CONDUCT
Participants must:
- Respect fellow participants, organisers, instructors, volunteers and venue staff.
- Respect everyone’s personal space, comfort and boundaries.
- Not force anyone to dance, interact, take photographs or participate in any activity.
- Avoid abusive, threatening, aggressive or inappropriate behaviour.
- Any form of harassment, bullying, fighting, intimidation or unwanted physical contact will not be tolerated.
- Participants violating these rules may be removed from the venue without refund.
7. PHOTOGRAPHY & VIDEOGRAPHY
- Photography and videography may take place during the event for event documentation, social media and promotional purposes.
- By entering the venue, participants acknowledge that they may appear in photographs or videos captured during the event.
- If a participant does not wish to be intentionally featured in promotional content, they should inform the event team.
8. PERSONAL BELONGINGS
- Participants are responsible for their own phones, wallets, jewellery, bags, footwear and other belongings.
- The organiser and venue will not be responsible for lost, stolen or damaged personal belongings.
- Participants are advised not to carry unnecessary valuables.
9. VENUE & SAFETY
- Venue: Impetus Sporting Turf, Datta Mandir Road, Wakad.
- Participants must follow all safety instructions given by organisers, security personnel and venue staff.
- Entry into restricted, staff-only, equipment or backstage areas is strictly prohibited.
- Any intentional damage to venue property or event equipment may result in removal from the event and recovery of applicable damages.
10. PROHIBITED ITEMS & BEHAVIOUR
Entry may be denied for possession of or involvement with:
- Weapons or dangerous objects
- Illegal substances
- Intoxication or disruptive behaviour
- Fighting or threatening behaviour
- Any item prohibited by the venue or security team
- Any activity that may endanger other participants
Security checks may be conducted at the entrance.
11. DRESS & FOOTWEAR
- Participants are encouraged to wear comfortable traditional Garba attire.
- Since the event is conducted on a turf/grass surface, comfortable footwear suitable for dancing is recommended.
- Participants should avoid footwear or accessories that may damage the turf or cause injury to others.
12. CHILDREN & MINORS
- Children/minors must be accompanied by a responsible parent or guardian where required.
- Parents/guardians are responsible for the safety and supervision of minors accompanying them.
- Any age restrictions applicable to specific ticket categories will be mentioned during booking.
13. FOOD & BEVERAGES
- Food and beverages may be available at designated areas of the venue.
- Outside food, beverages or restricted items may not be permitted.
- Consumption or possession of prohibited substances is strictly not allowed.
14. CROWD MANAGEMENT
- Entry and movement within the venue may be regulated depending on crowd size and safety requirements.
- Participants must follow instructions from security personnel, volunteers and organisers.
- Certain areas may be temporarily restricted for safety or crowd-management purposes.
15. MEDICAL & PERSONAL SAFETY
- Garba involves physical movement and dancing. Participants are responsible for participating within their own physical limits.
- Participants should immediately inform the event team in case of an injury or medical emergency.
- The organiser may pause activities if necessary for participant safety.
16. QR CODE & TICKET MISUSE
- Do not share your QR code publicly or with another person.
- The first successful scan will be treated as the valid entry against that ticket.
- If multiple people present the same QR code, entry will be granted only to the first successfully verified scan.
- The organiser will not be responsible for misuse of a QR code shared by the ticket holder.
17. ORGANISER’S RIGHTS
- The organiser reserves the right to refuse entry or remove any participant who violates these Terms & Conditions or creates a safety, security or behavioural concern.
- No refund will be provided where a participant is removed due to violation of event rules.
- The organiser may make reasonable operational changes required for safety, crowd management or venue requirements.
18. EVENT CHANGES
- Event arrangements may be affected by circumstances beyond the organiser’s control, including weather, venue restrictions, government directions, safety concerns or other unforeseen circumstances.
- Any significant change, postponement or cancellation will be communicated through the official event communication channels wherever reasonably possible.
19. ACCEPTANCE OF TERMS
By purchasing a ticket and/or entering the event premises, the participant confirms that they have read, understood and agreed to these Terms & Conditions.
